What belongs in the log?
The CRA asks for the date, destination, purpose and kilometres of each business trip, plus total and business kilometres for each vehicle. Record actual odometer readings at the start and end of the fiscal period, and when you buy, sell or trade a vehicle.
| Date | Destination | Business purpose | Distance |
|---|---|---|---|
| 2026-10-01 | Client office, Ottawa | Project planning meeting | 18.4 km |
A short routine beats a long catch-up.
Make the review small enough to fit into your week. Look for missing drives, confirm purposes, and check vehicle assignments while you still remember the day.
Record the drive
Let Klicksy track it automatically with the required permissions. Add a manual entry if something is missing.
Check the details
Confirm the purpose and destination, then add any context your records will need.
Save a monthly copy
Export a report, check it against your other records, and store it somewhere you can find again.
Kilometres and receipts do different jobs.
For mixed business and personal use, the business share of eligible actual vehicle costs generally follows business kilometres divided by total kilometres. Keep receipts for fuel, insurance, repairs and other relevant costs; deduction limits can apply.
For example, 8,000 business kilometres out of 20,000 total kilometres gives a 40% business-use share. That is a usage calculation, not a dollar deduction or a tax-saving estimate.
Can you use a simplified logbook?
A representative three-month sample may be used after a complete base-year log. The CRA’s method compares corresponding periods and requires calculated annual use to remain within its 10% range. Keep the base-year record for six years after the last tax year it supports.
Keep the records longer than the app history.
Required tax records generally need to be kept for six years after the last tax year they relate to; exceptions can require longer retention.
Klicksy keeps trips for one, two or three years, with two years as the default. Older trips and routes are deleted automatically. Export reports and save full backups before records expire, and keep those copies accessible for the period that applies to you.
Using more than one vehicle?
Keep each vehicle’s kilometres and expenses separate. In Klicksy Pro, add the vehicles you use and review trip assignments when you switch between them. An estimated odometer value in the app is helpful for a check, but record the actual reading from the vehicle.

Common questions
Is Klicksy CRA approved?
No. Klicksy helps organise your records; it does not claim CRA approval, guarantee a deduction or submit a tax return.
Does automatic tracking mean I can skip reviewing trips?
No. Review purposes, destinations and distances, add missing information and reconcile the log with your vehicle records. Automatic capture helps with consistency, but you remain responsible for the records.
Do I need a separate entry for every personal trip?
The CRA’s business log requires details for business trips and a record of total vehicle kilometres. Keeping personal trips in Klicksy can help you review the overall history, but it does not replace actual odometer readings.
